Refund Policy
At Alamoja Yoruba Online School, we understand that life can be unpredictable. Our refund policy is designed to be as accommodating as possible while ensuring the sustainability of our services.
1. Eligibility for Refunds
1.1 Who Can Request Refunds
- Currently enrolled students who have paid for classes directly or through a guardian.
- Students who have formally paused or ended their classes with proper notification.
- For students under 18, refund requests must come from their parent or legal guardian.
- Students with no outstanding payments or dues.
- Third-party payers (institutions, employers, or sponsors) who paid for student classes (Students whose classes were paid for by third parties must coordinate refund requests through their sponsoring institution).
1.2 Refund Request Timeline
- The student must explicitly request refunds – they are not processed automatically.
- Refund requests must be submitted within 3 months of:
- The last attended class, or
- The date when the student formally notified us about pausing or ending their classes
- Refund requests submitted after the 3-month period will not be considered.
- The school reserves the right to verify the last attendance date through our class records.
1.3 Refund Calculation
- Students are eligible for refunds of unused class payments only. For example, If you paid for 10 classes and attended two classes, you are eligible for a refund of 8 classes minus refund deductions (see 1.4 below)
- The refund amount will be calculated based on the original per-class rate paid.
1.4 Refund Deductions
- Administrative fee: 20% of the total refund amount
- Payment processor fees (e.g., Stripe or PayPal’s original charges) from the initial payment
- Any transfer charges to be incurred in the refund process
2. Refund Process
2.1 How to Request a Refund
- Refund requests can be submitted via email to billings.alamojayoruba@gmail.com
- Please include your name, class details (i.e., family code, tutor name), reason for the refund, and any relevant documentation.
2.2 Processing Time
- We aim to process all refund requests within five business days.
- Approved refunds will be issued within ten business days of approval.
2.3 Refund Methods
- Refunds will be made directly to the card or bank account used for the original payment. This policy reflects our commitment to preventing fraud and maintaining strict accounting transparency.
- In exceptional cases where the original payment method is provably unavailable, our finance team will review the situation on a case-by-case basis, always prioritizing security and transparency.
2.4 Third-Party Payments and Institutional Refunds
- For classes paid for by a third party (such as an educational institution, employer, or sponsor), refunds for unused classes will be issued to the original paying entity, not to the individual student.
- Students whose classes were paid for by a third party should coordinate with their sponsoring institution regarding any personal reimbursement for unused classes.
- We maintain records of the original payment source to ensure accurate and transparent refund processing.
3. Flexible Class/Payment Rescheduling & Transfers
3.1 Flexible Class Rescheduling
- If unable to attend scheduled classes, students can reschedule up to 24 hours before the class start time without penalty.
3.2 Class/Payment Transfers
- Students may transfer their enrollment or class payments to another person if they cannot continue classes.
3.3 Installment Plan Adjustments
- For students on payment plans, we offer the option to pause payments for up to 2 months in case of financial hardship.
3.4 Policy Limitations
- While we strive to be as accommodating as possible, repeated refund requests from the same individual may be subject to review.
- Alamoja Yoruba Online School reserves the right to modify this policy. Any changes will be communicated to enrolled students and applied to future purchases only.
